Buying school notebooks and registers in bulk: GSM, ruling and printing

Paper weight, ruling, binding and custom covers — how schools, coaching centres and retailers can specify notebooks and registers so bulk quotes line up.

Every new session, schools, coaching centres and stationery shops order notebooks and registers in large numbers. From the outside a notebook is a simple thing, but the paper, ruling, binding and cover all change how it writes, how long it lasts and what it costs. Specifying these clearly is the difference between three quotes you can compare and three quotes for three different products.

Paper weight (GSM) and quality

GSM means grams per square metre — the weight, and roughly the thickness, of the paper.

  • Lower-GSM paper is lighter and cheaper but ink may show through from the other side.
  • Higher-GSM paper feels thicker and handles fountain pens and gel pens better.
  • Brightness and smoothness matter too. Ask for a sample page and try writing on both sides with the pens students actually use.

Tell suppliers the GSM you want, or describe the use (primary classes, senior classes, rough work) and ask them to suggest one.

Ruling and page count

Be specific about the inside of the notebook.

  • Single line, double line, four line, square (maths) or plain — primary classes often need different ruling from senior classes.
  • Margin on one side or both.
  • Page count — say whether you mean pages or leaves (one leaf = two pages). This is a common source of confusion.

Size and binding

  • Common sizes include long-size and regular notebooks, plus registers for office use. Give the finished size if you have a sample.
  • Stitched (thread-sewn) binding lasts through a year of heavy use; pinned or glued binding is cheaper and suits rough or short-use books.
  • For registers, ask about hard or soft covers and whether pages are numbered.

Custom covers and printing

Schools often want their name, logo and a timetable or information page printed.

  1. Share the artwork in print-ready format, or ask whether the manufacturer offers design help.
  2. Ask how many colours the cover print uses and whether lamination is included — laminated covers survive school bags much better.
  3. Ask for a printed sample or proof before the full run.

Custom printing usually comes with a minimum quantity per design. Ask for it up front, along with prices at two or three quantities.

Timing matters

Notebook manufacturers are busiest just before the academic session begins. If you need custom covers, place the order well in advance and ask for a firm delivery date in writing. Late notebooks mean students start the year without them.

Mistakes to avoid

  • Mixing up pages and leaves. Say clearly which you mean; it changes the price and the book.
  • Approving covers without a printed proof. Logos and school colours often look different on paper.

What to include in your enquiry

  • Quantity per type (for example, single-line 172-page, maths square 120-page)
  • GSM or intended use, ruling and page count (pages or leaves)
  • Size, binding and cover type, with or without lamination
  • Custom printing details and artwork status
  • Delivery location and the date you need them by
  • Whether you need GST invoices

Compare suppliers in paper and stationery, or post your requirement and get quotes from notebook makers and wholesalers.
